Conference deferment for one year due to spread of COVID-19 pandemic

During the past week, a growing number of travel restrictions, health advisories/directives, and cancellations of “mass gatherings” have been announced around the world. In addition, Canada has closed its international borders indefinitely. “Social distancing”—the opposite of what STEM2020 is about—is being adopted rapidly as the “new normal.” Faculty, staff, and students at universities around the world are being asked to self-isolate and use various technologies to continue their academic work from home.
The health and well-being of colleagues, students, staff and the general public is our highest priority. Even though STEM2020 is scheduled for July 2020, we now believe that holding STEM2020 as originally planned would be inconsistent with this priority and with fulfilling our role in slowing the spread of the virus. Furthermore, we understand that application and issuing for Visas for entry into Canada is closed world-wide – making it impossible for many foreign delegates to attend the Conference even if Canada’s boarders open again in the coming months, given the visa processing timelines.
Given these circumstances, and with the full support of our member universities represented by the STEM2020 International Executive Members (http://stem2020.ubc.ca/conference-theme/committees/international-executive-committee/) – QUT, BNU, NENU, SWU, USyd, UCalgary, as well as UBC – it has been decided to postpone STEM2020 for period of one year – until July of 2021. At that time the host university and location will remain the University of British Columbia, Vancouver, Canada, and the title of the conference will be the 6th International STEM in Education Conference (STEM2021), and will be scheduled for July 15-17th, 2021.
All proposals – papers, posters, panels, workshops, and symposiums, will remain accepted for presentation at STEM2021. Around November of 2020, you will be asked if you wish to continue or withdraw your submission. If you choose to continue you will have the opportunity to revise to upload an updated version of your accepted submission. Also, we will explore a window for additional submissions in the fall months.
Refunds or Carryover of Conference Registration Fees
Due to the unprecedented circumstances that have led to postponing of the conference, there are two options available for those who have already paid their registration.
- A Full Refund – We are committed to providing full refunds for all those who registered prior to the suspension of registration on March 18th, 2020.
- Carry Over – You may opt to have your paid registration carry over to the STEM2021 conference. Carryover will hold the 2020 registration price, whereas the 2021 free will likely be an additional 5% higher.
We ask that all registrants respond with how they would like to proceed by emailing their request for either a full refund or a carry over to STEM 2021 to email@example.com by Tuesday March 31, 2020.
Refunds will be processed using the method originally used to pay for registration. If you paid by wire transfer, please let us know as we may not have received it yet. In your email reply with your chosen course of action, we ask that you provide the following information:
- Your first name as used during registration
- Your last name [surname] as used during registration
- A statement that you are requesting a refund of the registration fee for STEM2020
We ask for your patience during this difficult time, as all university staff are being heavily impacted by the COVID-19 pandemic and various requirements to self-isolate. We hope to have all requests for a refund or a carry over by the second week of April.
Cancelling Campus Accommodation Reservations
Those who have reserved accommodations on campus must cancel these as soon as possible. We cannot cancel them for you. To cancel your reservation, send an email to firstname.lastname@example.org or contact UBC Conferences and Accommodation by phone at +1 604-822-1000.
We want to thank everyone involved during the several years that STEM2020 has been planned including organizational representatives, those who made submissions, reviewed those submissions, organized pre-conferences and were looking forward to attending. The 6th International Conference of Science, Technology, Engineering and Mathematics (STEM2021) in Education is an opportunity for educators and researchers from schools, universities, colleges, museums and cultural institutions, businesses, industries and other private and public agencies to share and discuss their innovative practices and research initiatives that may advance STEM education.
Changing the Story as a theme, provides opportunities to examine STEM stories yet to be told, partially hidden, and not yet conceived. Research in STEM Education has the potential to transform lives, re-imagine education, and respond to some of the world’s most complex issues at local and global levels.
